Starting 1 January 2025, SILS PhD candidates are eligible for a graduation allowance of up to €1000. This allowance is intended to help cover the costs associated with completing and celebrating the PhD defence.

For whom?

This allowance is intended for PhD candidates with a contract at SILS and bursary students that have submitted their thesis. External PhD candidates are not eligible for the allowance.

PhD candidates and bursary students may be eligible for an additional bonus on top of the graduation allowance if they have been a member of the PhD/PD Council for at least one year. For more information, please contact the chair of the PhD/PD Council.

What can be claimed?

The graduation allowance can be used to claim expenses for printing of the thesis, use of facilities at Agnietenkapel or Aula for the ceremony, reception, lay-outing of the thesis, clothes for the candidate to wear during the defence, and a dinner with the committee. For other expenses, contact the institute manager for clarification. Only made expenses can be reimbursed: if the total expenses are lower than € 1000, the remainder cannot be paid out.

How can it be claimed?

To claim the graduation allowance, PhD candidates must inform the institute manager in writing once they have submitted their thesis. A simple email to the institute manager is sufficient. The institute manager will provide a WBS number from which the costs can be claimed. Reimbursements are processed via the “Expenses claim” tile in the UvA Self-Service tool.
